Who we are

Ember is an app for group audio check-ins, currently operated by its founders in Vancouver, Canada. We are the data controller for the information described here. Contact: support@tryember.co.uk.

What we collect

• Account — display name, email, and profile photo if you add one. Signing in with Google or Apple gives us your name and email; if you hide your email with Apple, we only receive the private relay address.
• Audio check-ins — your recordings, plus the time, group, and round they belong to.
• Group activity — your groups, join dates, ownership, and check-in history (used for streaks and your year grid).
• Notifications — a device token for push delivery. Reminder times and preferences stay on your device.
• Subscriptions — your subscription status via Apple and RevenueCat. We never receive card details.
• Waiting list — your email, if you signed up on our website.

We do not use analytics or advertising tracking.

How we use it

To run Ember: creating and securing your account, delivering your check-ins to your groups, sending notifications you've enabled, and managing your subscription. Under UK law our lawful bases are contract, our legitimate interest in keeping the service secure, and your consent where given.

Who we share it with

We don't sell your data or share it with advertisers.

• Your groups — your name, photo, and check-ins are visible to other members of groups you join.
• Google (Firebase) — authentication, database, storage, and notifications.
• Apple — sign-in, push notifications, and subscription payments.
• RevenueCat — subscription management (account identifier, purchase history, device identifiers).
• Airtable — website waiting list only.
• Legal — where required by law or to protect our users.

Storage and security

Your data is stored on Google Firebase. Ember is operated from Canada and our providers are US-based, so your information is processed outside the country you live in; UK transfers rely on standard contractual clauses and the UK IDTA. Data is transmitted over encrypted connections with access restricted to the founders. If a breach affects your personal data, we'll notify you and the relevant regulator as required.

Retention and deletion

We keep your data while your account is active. Deleting your account from the Profile screen permanently deletes your profile, photo, memberships, history, and recordings, though residual copies may persist briefly in encrypted backups. If you leave a group instead, check-ins you already shared stay with that group. Waiting list emails are kept until you ask us to remove them.

Your rights

You can access, correct, delete, port, or restrict use of your data, and withdraw consent at any time. Update your details or delete your account from the Profile screen; for anything else email support@tryember.co.uk and we'll respond within one month.

UK users can complain to the Information Commissioner's Office (ico.org.uk). Canadian users are covered by PIPEDA and can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca).

Children

Ember isn't intended for under-13s and we don't knowingly collect their information. Contact us if you believe a child under 13 has an account and we'll delete it.

Changes

We'll update the date above if this policy changes, and tell you in the app if the change is significant.
